Context & Mission Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter). To cover the Swiss market geographically, we are divided between an office at the Geneva headquarters and an office in Zurich. The Philanthropy Unit is one of seven teams in the Communication & Fundraising Department. The team of 20 raised over CHF 70 million last year from individuals, foundations, companies and cantons/communes. As a research intern, you will support the Philanthropy Unit in various aspects. You will be supervised by the Prospect Researcher, who is responsible for prospect research, due diligence, and data analysis. The intern will contribute to generating funding for the MSF social mission through prospect research, due diligence, and analysis, under the guidance of the the Prospect Researcher. Tasks and responsibilities Perform prospect research on potential and current major donors (private individuals, foundations, companies). Base the research on a combination of information from publicly available sources, our donor database, available financial records and other indicators. Establish donor profiles based on the analysis of accumulated information on philanthropy priorities, capacity, giving propensity and affinity to MSF and our life-saving mission. Conduct due diligence to ensure compliance with MSF’s gift acceptance policy Collaborate with the Prospect Researcher in developing a data analysis strategy Provide system support to the Philanthropy Advisors Work with the Prospect Researcher and other members of the Philanthropy Unit on other projects and tasks if necessary Depending on the candidate’s skill-set, knowledge, and learning and development objectives, contribute through other activities to the success of team Your profile Have a tripartite internship agreement Excellent research and writing skills Good knowledge of the Swiss social and economic landscape Knowledge of Microsoft Dynamics 365 CRM and data analysis an asset University degree in progress or equivalent Previous working experience (internship or other) is considered an advantage. Excellent research skills and the ability to juxtapose and synthesise findings Structured and clear writing Experience with CRM software and data analysis (Power BI, SQL) is considered an advantage. Fluency in English and good knowledge of French and German are required. Knowledge of Italian is considered an advantage. La cellule recherche de fonds grand public fait partie des 7 cellules métier du Département de la Communication et de la Recherche de Fonds. Le/la stagiaire dépendra hiérarchiquement de la Coordinatrice Middle donors et travaillera en étroite collaboration avec tous les membres de l’équipe marketing Direct et de la relation donateurs. Il/elle participera activement au développement des différentes activités fundraising de MSF Suisse. Le/la stagiaire de la recherche de fonds middle donor contribue activement à la qualité des relations donateurs de MSF Suisse (en lien avec les Chargé(e)s de marketing direct et chargé(e)s des middle donors) en répondant à leurs différentes demandes. Il/elle contribue activement au développement des différentes activités de collecte de fonds et au bon fonctionnement de la cellule. Principales responsabilités Gestion et suivi administratif des dons & base de données Validation des transactions journalières : identification des dons arrivant sur nos compte postaux, banques et par moyen électronique (codification des dons, transmission des informations aux collaborateurs du département, aide à la recherche des dons anonymes/semi-anonymes) Préparation du processus de remerciements pour les donateurs middle Traitement du courrier physique Mises à jour et enrichissement de la base de données. Relations donateurs Répond aux courriels des donateurs, ainsi qu’à toutes autres demandes (édition de duplicata des attestations de dons, envoi de bulletin de versement…) ; Utilise toutes les opportunités pour renforcer le soutien et la fidélisation de nos donateurs ; Aide à l’élaboration des propositions de soutien et envoi de documentation pour les middle donors ; Contribue à l'organisation et suivi des événements de la cellule (petits déjeuners, rencontres, évent donateurs, webinars…) Participe à la conception et/ou à l'actualisation des supports de communication, à la rédaction des différents contenus (e-mail templates, fiches projets, propositions de soutien, divers supports de communication etc.) Assiste avec d’autres tâches (ex. analyse de questionnaires de donateurs, présentation des résultats, etc.) Apprentissage de la gestion de micro-mailings papier, invitations et remerciements Découverte de la rédaction de contenus. Suivi des traductions avec les traductrices. Apprentissage de la coordination de la mise en page avec le graphiste. Initiation au contrôle des Bon à Tirer (BAT) d’impression et de personnalisation. Initiation à la coordination et l'envoi d’emailings et de questionnaires digitaux Recherche de contenu et de photos. Initiation à la rédaction des messages. Suivi des traductions. Apprentissage de la mise en page dans Mailchimp. The intern will support the team in its efforts to raise and deepen awareness of MSF operational activities and humanitarian principles of action. Tasks and responsibilities Compile reviews of the team activities, to be presented twice a year during the multiple-day team gathering. Provide the Operational Communications team with critical insights and analysis of the communication initiatives. Regularly update a list of communications initiatives in OCG MSF’s country of operations. Provide research, monitoring and speech analysis on the reach of OCG MSF’s operational communications initiatives. Support the Strategic Communications Advisors in their various initiatives and develop your own communication initiatives. Translate texts, press releases and reports, and revise translations (French and English). Take weekly meeting minutes in a concise manner. Provide the team with regular reports of new communications initiatives, to be shared internally. Context & Mission Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter). Médecins sans Frontières (MSF) has developed its own ERP system named UniField to cover its Finance and Supply activities and processes in the field (operations in 60 countries). UniField’s first deployments started in January 2015 and is now deployed on more than 400 locations and is used by more than 3800 active users. UniField is a fully functional ERP relying on both: Local autonomous installations allowing for offline use A central synchronisation server allowing for data exchange between installations whenever internet connection is available MSF has put in place a structure “UniField Intersection Application Management Team” commonly called the Core Team, to provide operations support and to ensure the maintenance and the evolution of the application for all the MSF sections using the ERP for their field of operations (currently 4 MSF sections) Reporting to the UniField Board, the Head of ERP Support and Development UniField is responsible for the management of the Intersection Application Management Team and the services provided to the MSF client sections. Responsibilities Ensure an effective service delivery to all MSF client sections related to the support, maintenance and development of the customized UniField ERP tool regarding Finance, Supply Chain and IT business domains Define the overall support and development strategy Define the support and development methodology and organisation Define the application life cycle and the release strategy Ensure coherence between client expectations and development of the tool Define clear SLA regarding the Application Management Team services Represent the Application Management Team in all intersectional platforms Answer, participate and work with the UniField Board of directors to define UniField scope and strategic vision. Execute any tasks assigned by the Board. Participate and work with the Finance, Supply and IT intersectional Business Requirements Committees to define the tactical plan and guarantee the overall coherence of the UniField developments and their alignment with the business processes Ensure the operational plan is implemented by the Core Team Business Analysts within their related intersectional Business Requirements Managers working groups Coordinate with the business the regular production of an end-user satisfaction survey Deliver progress / activity reports to all stakeholders Promote UniField to all other relevant actors / potential stakeholders Manage and support projects Manage and coordinate all UniField internal projects related to new functionalities from the design phase to the release into production with the support of the Business Analysts Support any external projects related to UniField such as being a member of projects’ Steering Committees, projects’ Core team, projects’ task forces, RFPs team… Manage the UniField Application Management Team Manage the Core Team composed of Business Analysts, Support Officers, Data Analysts and Developers in their daily activities and from their remote places Act as an operational Manager, advise, follow, support and back up Finance, Supply and IT team members Review tickets with the team, ensure relevancy of the functional requirements and their management into release Challenge the business/clients requirements when necessary Act as the IT Manager Coordinate the Intersectional IT working group Manage all IT requirements and IT functions to be developed in UniField Manage all IT incident tickets with the support of the ERP Support Officer Ensure the running of UniField Data warehouse and Business Intelligence services with the support of the Data Analyst Is responsible of the administration of all internal tools (Ticketing system, Teams workspaces, Password tools…) Budget Management Establish and follow up the Application Management Team budget Validate and follow up invoices Calculate and validate the cost rebilling to all MSF client sections Documentation knowledge management Ensure UniField documentation remains up to date for the Board, Breqs, BRM and Core team Be the guarantor of the knowledge retention within the team Note This position implicates the capacity to analyse, synthetise and model the requirements of a large IS project, to coordinate the needs of the 4 MSF operational centers (OC) at an organisational and functional level, to design and develop complex information systems, to develop an innovative vision and anticipate future needs. This project is particularly important for the MSF movement: the 4 Operational Centers (Amsterdam, Brussels, Geneva and Paris) cooperate intersectionally in order to develop common IS tools to support their operations. These new generation tools will be designed to have a life expectancy of over 15 years. The situation requires a particular engagement from the person in charge, given the complexity of the project, the expectancy of the various MSF Intersectional platforms and of the users (operations), the implications of this project for the administrative management of the operations of the whole MSF movement. Furthermore, this position requires specific communications skills and a high commitment to represent the Support Team in the various OCs, at an MSF Intersectional level and with all stakeholders. MSF has grown significantly in the last decade, but the HR department has managed this expansion with ad-hoc tools. To better support ongoing demands and the global workforce, OCG has launched an HR transformation initiative which includes the implementation of an HR Information System. The Internal Audit function of MSF Geneva Operational Center (OCG) is positioned under the functional management of the Board represented by the Finance Commission, and the hierarchical management of the Deputy General Director for Internal Affairs. The purpose of the function is to provide independent, objective assurance and consulting services designed to add value and improve MSF’s operations. The internal audit activity helps MSF accomplish its objectives by bringing a systematic, disciplined approach to evaluate and improve the effectiveness of governance, risk management, and control processes. OCG Internal Audit function has been going through a transition period, involving a reflection on its scope, objectives and structure, and on roles and responsibilities. The Internal Audit charter was reviewed in 2023 and the final team structure comprising a Head of Internal Audit and an Internal Auditor has just been approved. Depending on the audit assignments, the team will also be working with consultants and guest auditors from the MSF movement. The Internal Auditor will lead and carry-out risk-based internal audit missions. The position will also contribute to the development of the Internal Audit function, and to the reinforcement of OCG control environment. The Internal Auditor will work within the approved annual audit plan, in accordance with the Internal Audit charter and will follow the Institute of Internal Auditors (IIA) Code of Ethics. Responsibilities Lead and carry-out risk-based internal audit missions at both headquarters and field level, in collaboration with consultants and/or guest auditors. Conduct the audit planning process, define the audit scope and prepare the Terms of Reference. Organise required logistics arrangements for the audit. Prepare the audit work programme. Complete and document the audit work (incl. interviews, testing, field visits if applicable and other as appropriate). Lead the team involved in the audit assignment. Coach guest auditors. Ensure good communication with the auditees and communicate the results of audit assignments to relevant internal stakeholders. Facilitate the audit kick off meeting. Organise and hold debriefing meetings with relevant stakeholders. Write the audit report including contextual elements, audit findings, associated risks and recommendations. Request positioning from auditees on the recommendations, and follow-up on the implementation of agreed recommendations, with the support of the Internal Controller and Risk Manager. Request positioning from auditees on all audit recommendations and finalise audit reports including management responses. Request an update on the implementation of agreed audit recommendations and check the reliability of the information provided for a sample of recommendations. Contribute to the development of the Internal Audit function, and to the continuity of its activities. Participate in the annual planning and reporting processes. Contribute to the improvement and development of the audit methodology and practices. Maintain a good knowledge of internal processes and tools used at field missions’ level. Contribute to the reinforcement of OCG risk management and internal control environment. Identify and share common issues highlighted during audits and best practices. Provide advice regarding the improvement of the organisation’s risk management framework and the reinforcement of the first and second lines of assurance (on an ad hoc basis). Your Profile Education Tertiary degree in a relevant area (e.g. audit, internal control, risk management, finance or a related subject) Relevant work experience may be accepted in lieu of a tertiary degree. Experience Experience in the humanitarian/non-profit sector, including at field level. Experience in audit, internal control and/or risk management. Other experience considered as an advantage: Experience with MSF. Skills/ Technical competencies Strong analytical and synthesis skills. Excellent oral and written communication skills. Good knowledge of internal audit and risk management methodologies, and of the main resource management processes (i.e. human ressources, finance, logistics, supply) Languages English and French are the working languages of MSF Switzerland. Terms of Employment Full-time position 100% (40h/week) Open-ended contract Working place: Geneva, Switzerland Ideal start date: June 3rd, 2024 Gross annual salary (for 100%): from CHF 93’504.- to CHF 107’280.- (salary commensurate with equivalent experience and internal salary grid) Paid vacation: 25 days per year, prorate temporis, plus any Swiss public holidays falling within the contract period. Pension plan: pension contribution covered 3/4 by MSF, 1/4 by staff member Relocation package if moving from a different country to Switzerland.
