We achieve this through building community and connectedness among our people and focussing on Individual and Team Health Reporting to the Sr. Manager, Workplace Experience (EMEA), the Workplace Experience Manager will: ● Foster a professional working environment by promoting the highest standard of business ethos and strategically ensuring the most effective use of resources in support of business objectives. ● Create a culture of collaboration by investing in team members in order to continuously improve operations across the organization. ● Manage the working environment efficiently and to a high standard in collaboration with the local Workplace Experience teams as well as suppliers and contractors. ● Develop and maintain solid relationships with partners throughout the local and global organization; contribute to the Company's success by understanding the culture, and reflecting company standards in all operations of the Workplace Experience team. ● Support a hybrid working environment to enable our employees to collaborate and thrive, whether onsite or remote. ● Contribute to creating an outstanding and inclusive work culture and build an excellent employee experience. Responsibilities Building Services and Activities ● Manage the day-to-day service delivery to the Geneva and Lyon offices ● Manage and maintain all relevant hard and soft facilities services in buildings with the aim of providing the best possible experience at work. ● Support the maintenance of site strategic occupancy and project planning pipeline for future site needs. ● Assist in the redesign and oversee refurbishment and renovation of office spaces to enhance collaboration. ● Organize events and game launches, working closely with local stakeholders and external partners to conceptualize and deliver on key events, both on and off-site. ● Spearhead initiatives aimed at promoting employee engagement, collaboration and wellbeing. ● Ensures that assigned projects meet their goals and contribute to the organization's overall success by focusing on time management, budget control, and effective communication. ● Point of contact in case of emergency/unplanned situations. ● Measure all service activities against recognized standards and propose appropriate and proportionate improvements to meet existing and future requirements. Budget Management: ● Attain budget goals by analyzing financial statements and reconciling against approved budget ● Identify and suggest efficiencies and cost reductions where possible. ● Check and approve purchase requisitions and prepare the annual capital and operational budgets for the Workplace Experience team.. Vendor Management: ● Build effective relationships with suppliers ● Monitor and evaluate key suppliers ensuring they meet agreed performance levels; ● Regularly review contracts and services to ensure WE achieve the most advantageous offer for the goods and services that WE manage. ● Participate in all the selection processes for contracting new services and products or renewing them, either as the initiator and leader of the process, by using your own knowledge and expertise, or as a client for the Global Strategic Sourcing (GSS) team, respecting all the rules of the procurement policy. Stakeholder Management ● Establish and nurture effective relationships with stakeholders, ensuring their satisfaction with service delivery. ● Ensure effective communication with internal clients to build constructive relationships based on support and trust. Compliance ● Ensure statutory compliance of required local government and health & safety regulations, as well as company policies; keep all records kept up to date and ready for inspection by Global Audit. Collaboration ● Collaborate with the other managers in Workplace Experience and the greater Real Estate and Workplace Experience (REWS) team, as well as with the managers from other departments, on initiatives that support Workplace Experience in reaching REWS goals and objectives. People management ● Recruitment, management and development of WE team, including performance management, coaching and mentorship.. ● Coordinate workload and assign specific activities to team members so that they complete work tasks on time and efficiently in line with established team goals and objectives. ● Perform regular appraisals and conversations with staff about their role. ● Hold regular weekly team meetings to maintain a healthy working environment and discuss the tasks and projects planned or on-going actions. Skills and Abilities ● Operational Workplace Management experience ● Client service skills: ensure high-quality delivery to employees while balancing employee requests with company objectives. ● Project management ● Strong organization and planning skills to ensure on-time delivery and rigorous follow-up, prioritizing tasks effectively. ● Personal effectiveness: proactive, open, flexible, and confident in advising senior management. Works well within a matrix organization and handles ambiguity. ● Communication: able to establish effective relationships at all organizational levels, initiate networks, and exchange information proactively. ● Knowledge of a broad range of workplace, technical, and support processes; comfortable working in a fast-paced environment with tight deadlines. ● Experience in managing Health and Safety in a similar environment. ● Financial and business acumen with budget management experience. ● Proactive self-starter with the ability to initiate activities with little direction. ● Vendor management and contract negotiation.
